If you hear your own voice coming back at you on a call, the problem is almost never on your side. Echo is created when someone else’s microphone picks up your voice from their speakers and sends it back down the line. The rule is worth memorizing because it runs against instinct: the person who hears the echo is usually innocent, and the person causing it usually hears nothing wrong at all.
That single fact explains why echo is so hard to fix by committee. Everyone who can hear it starts adjusting their own settings, while the one participant who needs to change something sits in blissful silence.
How a voice makes the round trip
Your microphone captures your voice and the platform delivers it to every other participant. One of them is listening through laptop speakers or a speakerphone. Your voice fills their room, their microphone hears it like any other sound, and the platform dutifully sends it back to the meeting. You hear yourself a fraction of a second late, delayed by the trip across the network twice.
Meeting apps know about this and run acoustic echo cancellation to stop it. The app knows exactly what it is playing out of the speakers, so it subtracts that signal from what the microphone captures. Most of the time this works so well that nobody thinks about it. Echo shows up when something breaks the canceller’s assumptions.
The usual culprits
The most common cause is speakers turned up too loud next to an open microphone. The canceller has limits, and a loud, distorted laptop speaker in a reflective room can exceed them. Turning the volume down a few notches is often enough.
The second cause is two devices in one room joined to the same meeting. A colleague brings a laptop into a conference room to share slides, joins with audio, and the room system and the laptop immediately start feeding each other. Two people at adjacent desks on the same call produce a milder version. Each device’s echo canceller only knows about its own speaker, so it cannot remove sound played by the other device. The remedy is for all but one device to leave audio entirely, not merely mute the microphone, since the second speaker is still playing into the first microphone.
The third is a mismatch between devices, for example sound coming out of a television or external monitor with its own processing delay while the microphone is on a webcam. The delay confuses the canceller, which expects the sound to arrive on a predictable schedule. External speakers positioned right beside a sensitive desk microphone cause similar trouble. Occasionally the echo is self-inflicted. If you hear yourself instantly, with no delay at all, you are probably hearing microphone monitoring, sometimes called sidetone, which is a feature of your headset or your operating system’s sound settings rather than anything to do with the call.
Finding the source in under a minute
Since the culprit cannot hear the problem, the host has to find them. The quickest method is the mute test.
- Ask everyone to mute, or use the host control to mute all.
- Speak. If the echo has gone, it was coming from a participant rather than your own setup.
- Have people unmute one at a time while you keep talking. The echo returns when the source unmutes.
On most platforms you can also watch the participant list while you talk. If someone else’s microphone indicator lights up in time with your voice, their microphone is hearing you, and that is your source.
Be gentle when you name them. They have no way of knowing.
The fix that works every time
Headphones end echo. If sound never leaves a speaker into open air, the microphone has nothing to pick up, and the echo canceller has nothing to do. Any headphones will do, including basic wired earbuds. For the person identified as the source, putting on a headset is a ten-second solution that does not depend on finding the right menu.
If headphones are not possible, the alternatives are to lower the speaker volume, move the microphone away from the speakers, and switch to a purpose-built speakerphone, which is designed with its microphones and speaker arranged to make cancellation easier. In shared rooms, agree on one audio device per room and have everyone else join without audio.
Remember who hears what
The whole subject comes down to one habit of thought. When you hear your own voice returning, do not touch your settings; ask the group to run the mute test. When everyone else complains about echo and you hear nothing, assume it is you, and reach for your headphones.
